Job Description: Marketing & Events Coordinator

Position Overview

Reporting to the Corporate Communications Manager, our Marketing & Events Coordinator is an integral part of JMCC’s global Marketing & Communications Team, and supports its members as well as internal customers, handling a variety of tasks simultaneously. Therefore, the successful applicant will need to be:

· Well organized, self-motivated and adept at multi-tasking to manage varied administrative duties requiring attention to detail;

· Proficient with popular business software (e.g., Word, Excel, PowerPoint) and mar-comms applications (WordPress, HubSpot, Photoshop and/or Canva) and a “quick learner” when introduced to new software;

· A good communicator (English writing and oral skills), and with the ability to relate well to a range of professionals, from senior executives to customers and vendors, and colleagues at many levels.

Key Responsibilities:

Marketing Technology Administration

Stewardship of JMCC’s mar-comms technologies, data and content maintenance processes, including:

· Taking ownership of JMCC’s enterprise-wide contact/relationship management system (Hubspot) and related data, and managing it with diligence and attention to detail to ensure the CMS is up to date, error free and complete;

· Supporting projects using JMCC’s other mar-comms apps, including MailChimp. Survey Monkey and WordPress-based web/mobile sites;

· Working with internal and external consultants and other members of the Mar-Comms team to identify new technology needs or development of existing apps to meet those needs;

· Managing and supporting JMCC’s digital mar-comms systems and assets, including content creation and management, marketing automation tools, CRM, and event management apps;

· Monitoring and analyzing marketing campaign results and providing recommendations for optimization;

· Supporting execution of digital marketing campaigns via website, social media channels, and email campaigns;

· Providing analytics and dashboards that provide insights and help guide future decisions, e.g., campaign clicks, website traffic, social media engagement;

· Training executive team and other staff on new technologies.

Event Planning & Coordination

Coordinate all project planning, budgeting and logistics related to JMCC’s participation at external and company-sponsored events around the world (virtual and in-person). Typically, this involves:

· Working with other members of the JMCC Mar-comms team to develop goals, plans and budgets for events including external conferences, symposia, customer events, off-site executive team and other meetings, etc.;

· Researching various types of vendors (e.g., exhibition booth designers, printers, event venues, hotels and caterers), and writing and distributing RFPs to selected potential vendors as required, analyzing submissions and recommending top proponents;

· Organizing travel and accommodations for JMCC team members and VIP guests attending external conferences, team meetings and other events);

· Organizing and managing shipping and/or local production of event materials and supplies (e.g., trade-show booths, printed materials, branded merchandise/give-aways) and returns to storage;

· Creating and distributing agendas, backgrounders and other information for the CEO and other JMCC team members attending major events, covering all activities before, during and after the conference;

· Recording and tracking sales leads and other new contacts during tradeshows and similar events and distributing to the appropriate departments/teams after each;

· Developing a social media plan for relevant events designed to meet JMCC’s goals for each event;

· Organizing and managing event registrations through various platforms (Eventbrite, Zoom, WordPress etc.) and/or organizing and managing live registration desks at JMCC-hosted live events;

· Assisting the Corporate Communication Manager in coordinating JMCC and external guest speakers, and developing event/session outlines, presentations, etc.;

· Travelling as required to provide hands-on event support.

Social Media Support

· Coordinating JMCC’s presence on social media channels (currently, Twitter and LinkedIn);

· Preparing an annual social media planning calendar;

· Preparing quarterly reports on social media engagement, growth, and noteworthy developments;

· Monitoring media, competitors’ and partners’ social media channels to identify JMCC content opportunities such as industry developments, support of new initiatives by partners, noteworthy events, etc.;

· Drafting tweets each week and creating graphics for posts as required.

Other:

· Supporting new website creation and launch,

· Conducting market and industry research,

· Assisting with internal communications,

· Managing company merchandise orders and inventory,

· Other mar-comm projects as requested.

Key Qualifications:

· A minimum of three years of work experience in a junior marketing and/or communications role,

· Bachelor’s degree in English, marketing, communications or a related field,

· Experience in medical, pharmaceutical or cannabis industry an asset,

· Working knowledge of French also desirable.
