Purchasing Manager (Retail)

Our client a cannabis retailer with multiple locations in the Santa Barbara/Los Angeles area is seeking a Purchasing Manager (retail) to join their team. The Purchasing Manager is someone who is highly detailed, organized, can drive results and is familiar with inventory and supply chain processes.

The Retail Purchasing Manager is responsible for the oversight of procurement of all retail merchandise for all dispensary and delivery service locations across California, focusing on building long term strategic partnerships and maximizing gross profit margin while leveraging our growing buying power. The Retail Purchasing Manager will be accountable for the end to end purchasing process and determining the categories to source, achieve savings, manage contract implementation and track the impact.

Job Duties Responsibilities:
Supplier Relationship Management

  • Partner with the organizations management in the evaluation and selection of vendors as well as the negotiation of purchase contracts or service level agreements to develop an overall vendor base which creates and sustains a competitive advantage.
  • Negotiate payment terms andwholesale prices leveraging multi-store buying power and constantly reducing COGS
  • Contact suppliers in order to resolve any issues with retail products
  • Work with suppliers to access promotional products
  • Evaluate and monitor supplier contracts
  • Interview vendors and visit suppliers plants and distribution centers
Product Purchasing Process

  • Collaborate with retail locations, gauging inventory level needs and overseeing sourcing, maintaining the appropriate stock levels
  • Create profitable ways to manage obsolete and slow-moving stock to help offset losses
  • Maintain standard operating procedures for purchasing, proposing improvements to the current purchasing system that may improve vendor relationships and lower the cost of doing business if possible.
  • Ensure consistency of merchandising and branding
  • Conduct frequent pricing assessments in each market to ensure competitively priced at all times
Inventory Management KPI Accountability

  • Conduct frequent ABC Analysis to identify Never out of stock SKUs and Slow-Moving SKUs, optimize Category performance, and execute SKU rationalization exercises
  • Prepare weekly/monthly reports, including forecast demand, days of supply and inventory allocation.
  • Build and manage a monthly open to buy for each location
  • Work directly with each location to ensure accurate PAR Levels are being maintained
  • Expand and maintain performance metrics including but not limited to supplier performance, fill rates, on-time delivery, supplier quality, order placement, and financial (AP) performance including sales, inventory turns, and gross margin dollars
  • Maintain and review records of items bought, costs, deliveries, product performance, and inventories
Accounting AP

  • Ensure all invoices and purchase orders are properly created, received and processed
  • Provide foresight into cash flow needs on a monthly basis using the open to buy
Education Required Skills

  • At least two years of experience in the CA cannabis industry
  • Bachelor's (Preferred)
  • Proven success in vendor relationship management and COGS reduction
  • At least two years of experience in retail procurement, demand management, supply chain, forecasting, or statistical modeling
  • Highly proficient in Excel and Google Sheets
  • Hands-on experience with a demand planning software tool and ERP systems
  • Knowledge of forecasting methodologies
  • Experience in data mining, analysis, and reporting (preferred)
Compensation: $60-75,000

The role currently manages two full-time direct reports.</p><p><b>Job Duties:</b></p><p>• Manages the Accounts Payable process, which includes, (but not limited to) managing vendor relations, processing of invoices, payments, reconciliation and accruals.</p><p>• Manages the Project Accounting process /reporting and liaise with the construction and design and other departments in charge of projects execution.</p><p>• Administers the company’s bank accounts, retail deposit setups, and corporate credit card program.</p><p>• For wholesale distribution and digital platform customers, manage the maintenance of AR ledger, aging analyses, and timely collection of trade/statutory accounts.</p><p>• Manages monthly and quarterly closing, including the posting of AP records to meet closing and reporting deadlines.</p><p>• Oversees all requests for payment information and ensures proper payment procedures are followed.</p><p>• Oversees the operational effectives of internal controls of the AP and cash administration functions.</p><p>• Prepare and deliver weekly AP and AR admin reports that cover vendor card issues, unposted invoices status and GRNI balances that require escalation and clean up.</p><p>• Reports daily cash position and cash requirements to the VP and Senior management.</p><p>• Escalates to department approvers periodically to ensure approvals are received on a timely basis.</p><p>• Oversee accurate invoice coding by AP team and liaises with departments and FP&amp;A to confirm any department or location level cost centre coding queries.</p><p>• Maintains cadence for supplier payments to ensure that all applicable discounts and credits are taken.</p><p>• Manages the accuracy of the vendor database and approves vendor setups in accordance with company policy.</p><p>• Oversee the improvement of the accounts payable function including implementation of policies, procedures and improving existing systems.</p><p>• Actions new ways of doing standard/routine tasks, including automating functions, finding scalable solutions and driving continuous improvement.</p><p>• Creates and maintains AP SOPs and AP form templates that are used by departments and vendors.</p><p>• Motivates, trains and evaluates employees to enhance their performance, development, and quality of work product.</p><p>• Is on-call with operations teams to support the rapid onboarding of new locations, construction builds and transactions so the Company can meet growth targets.</p><p>• Performs other related duties as required.</p><p>Key Knowledge, Skills, Credentials</p><p>• Bachelor's degree in business administration, accounting, finance or related field</p><p>• +3 years of experience in senior AP supervisory team lead positions or in an AP manager role</p><p>• Experience with cash administration an asset.</p><p>• Extensive knowledge of accounting and management principles and accounts payable procedures.</p><p>• Experience overseeing high-volume of vendor activities across multiple business lines, departments and store locations</p><p>• Experience working in the retail industry or construction industry preferred.</p><p>• Experience working in a strong internal controls environment and enacting best practices.</p><p>• Experience with ERP systems - Microsoft Dynamics and JET experience is preferred.</p><p>• Experience in maintaining SOP documents and forms management.</p><p>• System implementation/improvements experiences an asset.</p><p>• MS Excel proficient - experience with pivots, vlookups and excel formulae</p><p>Core Competencies</p><p>• Ability to work in fast paced ever changing environment with a proven track record of successfully managing multiple priorities</p><p>• Strong leadership skills with ability to foster continuous departmental improvement</p><p>• Self-motivated with minimum supervision</p><p>• Problem solving abilities: knows how to take action on their own and when to escalate judgment</p><p>• Excellent communication with people at different organizational levels and is seen as a key contact for all matters related to AP and cash administration.</p><p>• Ability to motivate the team and create a positive work environment</p><p>• Ability to work under pressure and meet deadlines.</p><p>Fire &amp; Flower values the diversity of the people it hires and serves.
