POSITION SUMMARY:

As the Receptionist you will be responsible for all the front desk responsibilities, including answering phone calls, phone messages, filing and emails in a timely manner. Responsible for greeting visitors, maintaining visitor log, processing agent badge applications, coordinating office orders, filing, deliveries and service requests while assisting Management with various clerical duties as assigned and required.

KEY RESPONSIBILITIES :

Always acknowledge each visitor with a smile and in a positive professional manner Monitor secure main entrance only allowing entry after verifying identity, purpose, and issuing visitor badge. Notifying managers of visitors and escorting them to their meeting Pick up, distribute, and manage in/outbound company mail Coordinate with vendors and delivery drivers from FedEx, UPS, DHL, Cintas, etc. Accurately record the shipping slips from deliveries and distribute packages to appropriate department manager/lead Assist administrative coordinator in processing new agent badge applications Manage the Visitor log and Visitor Badges and always maintain regulatory compliance Stock and maintain the office supplies, cleaning, and snack cabinets Maintain all office equipment daily, fill toner, paper, staples, laminating sheets, etc. always ensuring proper functions of the equipment Maintain analog and digital file systems Perform filing and general administrative tasks Liaise with other departments/customers/vendors Data entry Ad-hoc duties as requested Always adhere to strict confidentiality

ADDITIONAL REQUIREMENTS :

Adhere to chain of command and company organization chart Must possess a positive and willing to learn attitude Valid state issued driver's license or identification card Must be at least 21 years of age Must not have any felony convictions or financial crimes related convictions of any kind Must pass all required background checks per NRS 345A, NRS 453D, and local municipality requirements Must be and remain compliant with any and all legal or company regulations for working in the industry Must follow internal policies and procedures at all times Must be able to stand/walk for up to 6 hours at a time Must be able to sit for up to 8 hours Ability to work in a fast-paced environment Must be able to lift 50lbs with assistance

MINIMUM EDUCATION AND EXPERIENCE :

High School Diploma or equivalent 2-3 years of administrative experience; receptionist duties MS Office experience required. SOREC Extension program topics include: Master Gardeners/Home Horticulture, 4-H Youth Development, Forestry/Fire, Commercial Agriculture Small Farms, and Family Community Health (nutrition).<br /></div><div>The incumbent will report to the SOREC Director who has overall leadership, signature authority, and strategic responsibilities for SOREC, as well as research and outreach roles. The incumbent will assist the SOREC Director in developing the various annual budgets (e.g., County Service District, CAS, Agricultural Research Foundation (ARF), OSU Foundation, etc.).<br /></div><div>This position is crucial to day-to-day operations at SOREC. The purpose of this position is to provide administrative support for the AES portion of SOREC, with cross-training to provide occasional backup support for SOREC Extension activities. This administrative support includes general office administration and management, planning, regulatory compliance, risk management aspects, human resources, and fiscal management for SOREC and individual faculty accounts.<br /></div><div>The incumbent will perform fiscal transactions such as accounts payable/receivable and reconciliation of SOREC accounts. Other responsibilities include HR functions such as personnel labor distributions, new employee recruitment and hiring, and other confidential activities. Duties also include secretarial/administrative, record processing, business function, and information/assistance support to other AES faculty at SOREC as appropriate.<br /><br />The incumbent will manage AES SOREC business by independently deciding on appropriate actions and then reporting decisions and results to the SOREC Director. Incumbent will work with personnel at all levels within OSU to determine policies and procedures for administrative and fiscal affairs, and then consistently and efficiently executes them. In this realm, the incumbent will work closely with OSU and the ARF.</div><div></div><div><br />The incumbent will be the IT Local Resource Person for all research programs and will work closely with appropriate departments on campus to maintain computers, teleconferencing and software resources.</div><br /><div></div>Position Duties<div><b>40% Office Administration and Operation:</b><br />Perform numerous clerical, organizational, and office support tasks, including but not limited to:</div><ul><li>Assist callers and office visitors by providing accurate information and referring to appropriate personnel.</li><li>Provide thorough, professional and friendly customer service.</li><li> Manage sensitive information with confidentiality and discretion.</li><li>Coordinate meetings, events, and conferences to include scheduling facilities, providing food and/or beverage service, handling conference registration and fees, and preparing necessary decorations, publications and materials.</li><li>Run appropriate fiscal reports for faculty and SOREC Director.</li><li> Compile and prepare an assortment user-friendly printed and web-based publications, such as newsletters, promotional flyers, informational letters and memos, schedules of events, event programs, rulebooks, procedure manuals, and program calendars.</li><li>Maintain and update content of SOREC Research web pages and social media.</li><li>Order materials, supplies, publications, computers, etc., from various vendors as needed for SOREC office operations as well as in support of SOREC Director and faculty/staff when requested. This includes shopping for and picking up materials locally at times.</li><li>Arranges or coordinates departmental meetings, socials, gatherings, and public Field Days.</li><li>Coordinates all property and building maintenance projects with appropriate offices at OSU and Jackson County Facility Maintenance.</li><li>Assist principal investigators with research project-related publications and outreach materials.</li><li>Maintain required federal and state inventories of all equipment including buildings, vehicles, and computers.</li></ul><p></p><div><b><br />35% Bookkeeping:</b></div><ul><li>Enter invoices, deposits, journal vouchers, travel reimbursements, and purchasing transactions to OSU electronic systems.</li><li>Make deposits and handle billing of outside entities.</li><li>Oversee the use of the Oregon State University Travel &amp; Expense cards.</li><li>Works with SOREC Director to create and track budgets.</li><li>Manage funds allocated to SOREC AES functions: State, Federal, grants, contracts, Agricultural Research Foundation, OSU Foundation, and Jackson Co Service District funds.<br /></li></ul><div></div><div><b>20% Human Resources:</b></div><ul><li>Work with the Human Resource Service Center to initiate position descriptions and the posting of vacant positions. Works with faculty to write position descriptions, develop search committees with Director input, maintain screening files and coordinate interviews. Follow all appropriate steps in the hiring process.</li><li>Coordinate with appropriate OSU Business Centers and the Human Resources Service Centers for all payroll and human resources transactions for the unit.</li></ul><div><br /></div><div><b>5% IT Support</b></div><ul><li>Make recommendations and provide specifications for purchasing new computer systems, computer components and software applications based on employee needs.</li><li>Work with campus support (Community Network), to provide hardware and software update and maintenance recommendations when requested</li><li>Arrange for maintenance and repair of interoffice network equipment,</li><li>Set-up and maintain email and networking accounts of new employees.</li><li>Ensure efficient and secure operation for all computer printer and related equipment.</li></ul>Minimum Qualifications<p>Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
