Event Planner/ Recruiter

We are an established cannabis company in Southern California and we have an excellent opportunity for a full time Event Planner and Recruiter within our organization. The Event Planner/Recruiter will work in the administrative office in Irvine, CA*. This person will plan large-scale trade shows/events in multiple states across the US and will be responsible for keeping detailed inventory of all event assets. Additionally, the event planner/recruiter will be responsible for recruiting and hiring staff company wide.

  • This position is full-time, in-office only.

Event Planning Responsibilities

  • Leadership and Supervisory skills
  • Ability to recommend and select onsite activities for attendees
  • Knowledgeable with booking travel and logistical planning
  • Partner with creative team on program branding and collateral
  • Develop and monitor travel budgets to ensure expenses are kept within established boundaries. Review financial information for accuracy, and assist in the preparation of financial reports for the team and department
  • Attend incentive trips and provide onsite support and feedback to the team
  • Develop event budgets, timelines, surveys, and all quarterly metrics as they relate to the department incentive program
  • Assist the department with other company sponsored events

Recruiting Responsibilities:

  • Managing all postings on career sites, scheduling interviews while providing an excellent candidate experience. Interviews include phone, videoconferencing (Zoom), onsite interviews, and travel (when needed)
  • Completing background checks, send onboarding documents, and sending New Hire Announcement to hiring leaders providing onboarding hire instructions
  • Ensuring process completion for all new hires to include orientation, background checks, and new hire paperwork, and sending welcome email to new hires
  • Manage on-line resume database to ensure applicant information is current to include: complete applications, identification details, etc.
  • Special projects as assigned

Work Schedule

  • Office Hours in Irvine, CA: Monday-Friday, 9:00 am-5:00 pm
  • Department needs will call for occasional evenings and weekends

Qualifications

  • Bachelor’s degree preferred, ideally in event management, hospitality, or related field
  • Minimum 2-5 years of event planning experience, with at least 2 years in a leadership or supervisory role
  • Team Management/Supervisor/Leadership experience
  • Extensive experience planning events/trips for large groups of employees, ranging from 0-50 employees
  • Professional certifications a plus, such as Certified Special Events Professional (CSEP) or Certified Meeting Professional (CMP)
  • Strong experience with online registration systems
  • Proven history of providing outstanding customer service while proactively troubleshooting/problem solving
  • Excellent communication and interpersonal skills
  • Proven ability to negotiate, budget, plan and successfully manage a variety of events.
  • Strong negotiation skills
  • Ability to work on multiple projects simultaneously while remaining organized, efficient and flexible
  • Highly motivated self-starter
  • Excellent written and verbal communication skills; communication with all levels of management
  • Ability to work autonomously/independently yet be an integral part of an overall team environment

Provide analysis of monthly cost variances (price and performance)</li><li>Support monthly close, quarterly forecast, annual budget, and long-range plan processes, which includes continuously refining spend forecast and providing information to help inform decisions and recommendations on both financials and KPI’s</li><li>Collaborate with Facility Management to establish of KPI’s (non-financials) and KPI reporting tools</li><li>Maintain and improve financial model to value inventory, monthly, quarterly, and annually.</li><li>Responsible for ERP systems at the GPs</li><li>Prepare and coordinate S&amp;OP routine.
