Purpose

This position coordinates and supports the activities of the laboratory to assure profitable and successful operations. The Office Manager provides general support to internal team members and external clients on a daily basis. Attention to detail, excellent verbal and written communication, strong organizational skills and multitasking are critical for this position as well as the capability of performing a variety of tasks within the scope of job duties. The incumbent works with the team in support of business development.

Responsibilities and Duties

  • Assist Director of Operations on developing a strategic plan for the laboratory with the management team implementing this plan.
  • Provide support and coverage to the laboratory by answering incoming calls, respond and follow through of client inquires, support in meeting preparation including working with security to register guests with the building, and receiving guests onsite.
  • Entering accounting and supporting data into laboratory information systems.
  • Preparing reports and documentation as required.
  • Maintain a work environment that encourages equal employment opportunity, employee development and communication.
  • Manage office supplies and inventory.
  • Ensure new hires are set up with supplies, badges, and other items as required.
  • Lend support to the broader Commercial team, as needed, as part of being one team
  • Exercise discretion while performing a wide variety of confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and procedures
  • Manage the confidential and sensitive nature of communications associated with laboratory activities.
  • Partner with receptionist to ensure front entrance and office are well-maintained and guests are registered with the building
  • May monitor laboratory budgetary spending by verifying charges against budget.
  • Participate in the development and implementation of secretarial/administrative standards, policies and practices for the organization
  • Maintains latest versions of team headcount, organizational structure, team bios
  • Assists team with all in-office meeting and event coordination, (e.g., working with any vendors, arranging for meals, decorating)
  • Provide corporate personnel with necessary information to document the progress of the laboratory. Administer corporate human resource programs relating to employee recruitment, onboarding and retention, compensation, training and development, equal employment opportunity, performance appraisal, and employment record documentation.
  • This position has the responsibility and authority to initiate action to prevent or minimize departures from budgetary guidelines or financial loss. This responsibility includes monitoring and recording expenses, preparing expense reports, maintaining office budget, maintaining bookkeeping system through monthly financial reports, process accounts receivable and accounts payable, follow up on overdue accounts, and perform account reconciliations.
  • Perform other related duties as needed.

Knowledge & Skill

This position needs an advanced knowledge of business operations in the STEM sector to provide leadership and support in day to day activities of the laboratory. A thorough knowledge of accounting is necessary to manage the financial data, reporting and analysis that is conducted in the business unit. A strong knowledge of the business disciplines of finance, budgeting, sales, and marketing practices are necessary to ensure our goals are achieved as a team. A general knowledge of personal computers is necessary to track laboratory information and produce documents to support the management function. General knowledge of the Laboratory Information Management System (LIMS) is needed to review and analyze client accounts for financial background and security settings. Analytical skills are needed to problem solve and fulfill company needs. Strong oral and written communication skills are essential to this position for effective customer contact. Customer relation skills are needed to obtain and provide information to the customer. Strong management skills, obtained from previous supervisory experience, are necessary to ensure that the laboratory runs smoothly. Planning skills are essential to maintain efficient laboratory operations.

This position requires individual analysis of each problem to determine the optimal solution. Problems can occur throughout the entire opportunity to cash process. The incumbent uses previous experience, publications, field texts, and current journal articles as resources to provide necessary information to solve a problem. Solutions may require innovative alternatives to modify current analysis methods to improve productivity or for solving unique employee relation difficulties. Customer problems are often unique and require the incumbent to select among several different alternatives to maintain customer business. The incumbent is responsible for reporting financial and operational activities of the microbiology and chemistry laboratories. This position uses previous experience, guidance from other laboratory leadership and relevant literature to obtain a solution to the problem.

This position requires decisions to be made regarding laboratory needs and difficulties. Information is available from standard operating procedures, position precedents, federal and state regulations and written company procedures and policies. All of the incumbent's decision making and recommendations must be based on ethics and integrity.

The incumbent receives general direction from the location Director of Operations. This position works toward broad long-term objectives established with the location Director of Operations. The incumbent, with the authorization of the location Director of Operations, determines intermediate sequences. Review of work occurs on a monthly basis to ensure that procedures are followed and budget constraints are not exceeded. The incumbent supports responsibilities for maintaining revenue by expanding customer base or increasing laboratory capabilities. This position is responsible for maintaining a work environment that promotes a productive workforce and accurate results for the customer. Unique or unusual problems may result in consulting the location Director of Operations or corporate personnel to suggest possible solutions.

Supervision of Others & Relationships

This position supports the Lab Managers and subordinates. Supporting supervisory responsibilities include hiring, terminating, training, promoting and disciplinary actions Coordination with microbiology and chemistry departments is required to provide complete record keeping. This position coordinates with the corporate departments of accounting, sales, IT, research, human resources and educational services to obtain information to provide quality services to the customer. Internal coordination between the various laboratory functions is needed to achieve the most accurate and timely analysis possible.

Work Environment

The incumbent works in a laboratory environment with proper lighting and temperature control. Occasional exposure to laboratory fumes, chemicals, and materials will occur when obtaining results or testing status from operations personnel. Client visits may require protective clothing and equipment according to the facility environment. Physical dexterity is necessary to effectively manipulate a keyboard. The incumbent can expect extended time spent in a sitting position. Three to seven nights a month may be needed to travel to other laboratory locations and attend professional seminars.

  • Working knowledge of a broad range of plant medicine products, processes, and cultivation preferred (e.g. Cannabis, Hemp, CBD and Fungi).
  • Working knowledge of Office Management and Business Accounting with at least 3 years experience working in an accredited laboratory.
  • Excellent oral and written communication skills. Demonstrated expertise in accounting and business management.
  • Must have strong organizational, leadership, and customer service skills. Excellent interpersonal, communications, public speaking, and presentation skills.
  • Solid working knowledge of budgeting, sales, business development, and strategic planning.
  • Ability to generate respect and trust from staff and external constituencies.
