About the Role

The Executive Assistant is a strategic partner that will work to ensure everything runs smoothly for the executive they support. The ideal candidate will be a high-energy, self-motivated professional that is interested in growing with the business and has knowledge in the Finance and Capital Markets industries. A critical thinker with excellent communication skills, attention to detail, and a strong work ethic. The incumbent will be able to manage their workload and prioritize tasks in a fast-paced corporate environment.

Role and responsibilities include, but are not limited to:

- Handle requests and queries appropriately with professionalism, accuracy, and a keen sense of urgency

- Be highly proactive and take ownership to anticipate needs, adept at communicating effectively to ensure deliverables are met timely and accurately

- Maintain executive’s appointment schedule by providing effective and efficient meeting coordination, including attendee listings, facilities, technology, agendas, materials, catering, notes, and action items

- Coordinate executive communications, including taking calls, routing correspondence, responding to emails, interfacing with internal/external clients

- Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information, and ensuring the accuracy of communication from the executive's office

- Review, cross-reference, format and assemble reports as requested

- Recommend, build, and maintain complex travel bookings and itineraries

- Arrange corporate events such as conferences, trade shows, customer events, and staff events

- Provide executive administration support such as, completing expense reports, maintaining an organized filing system, and assisting with the management of the corporate office

- Help drive overall goals of the corporation and the executive

- Uphold a strict level of confidentiality

- Develop and sustain a level of professionalism among staff and clientele

Experience and Qualifications

- Post-secondary completion of two-year program for administrative assistant, office assistant or other professional degree and/or program is required

- Minimum of 5 years of experience as an Executive Assistant reporting directly to C-level Executives

- Advanced Microsoft Office skills, especially Excel, Outlook and PowerPoint, with an ability to become familiar with company-specific programs and software

- Knowledge of the Finance and Capital Market industries

- Full comprehension of office management systems and procedures

- Proficiency in collaboration and delegation of duties

- Must be able to pass a criminal background check

- Valid driver's license and reliable vehicle preferred
