Job Purpose * Provide general office and laboratory administrative support and a wide range of services and information to the team, clients and external stakeholders. Organize and maintain office operations and procedures. Act as a communication intermediary between cross-functional departments and business locations. Handle daily operations with a focus on efficiency and time management, maintaining intra-office communication protocols, streamlining administrative procedures, inventory control, and task delegation.

Duties and Responsibilities * Handle various client communications (phone calls, voicemail, email) with a strong customer service approach * Track and handle laboratory expenses and receipts in coordination with accounting department * Delegate, track and manage numerous parallel activities with minimal supervision * Implement and maintain filing systems for client profiles, employee files, production testing documents, purchase orders and invoices * Coordinate schedules, appointments and event bookings * Assist with the generation of a variety of reports to include department performance, expense, sales, and operations * Conduct accounting responsibilities such as cash and payment intake, and expense processing, bank deposits * Coordinate and manage vendor relationships * Review and approve supply requisitions and receive shipments * Assume responsibility for facility operational duties as required (i.e. alarm systems, security cameras); * Monitor and maintain office and laboratory supplies, inventory * Sort and distribute incoming mail * Support Client Services Representative(s) and lab personnel, as needed * Perform other related duties as requested

Qualifications * 3 - 5 years experience as an office administrator preferred * Cannabis Industry experience a plus * In-depth understanding of accounting, data and administrative management practices and procedures * Knowledge of office software packages and accounting systems including Excel, QuickBooks and Intacct. * Strong computer and technology skills; resourceful with sound research skills * Excellent written and oral communication skills * Advanced computer skills, proficient with MS Office Suite * Highly detail oriented and organized, critical eye for optimizing workflows * Demonstrated strong customer service skills * Excellent time management skills with ability to multi-task, effectively manage changing priorities and remain calm under pressure * Strong organizational and planning skills * Ability to demonstrate teamwork and collaborate effectively on projects and tasks with supervisor and co-workers * Excellent problem solving and critical thinking skills with demonstrated ability to gather information and develop solutions * Demonstrate responsibility, accountability, and dependability toward assigned tasks and duties * Ability to demonstrate professional, positive attitude toward assigned tasks, projects and colleagues * Facility with office and laboratory computer applications * Accredited laboratory environment requires strict adherence to safety and Quality Assurance protocols. * Must be 21 years old * Background check required

Working Conditions and Physical Requirements This job operates in a professional Office / Laboratory environment. This role routinely uses standard office equipment such as computers, phones, electronic notepads and various software programs. Requires long periods of sitting and working at a computer screen. This job may require some extended work hours or weekend work during harvest and other busy seasons. Requires work in a laboratory environment with some exposure to noxious fumes. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Sufficient motor function to move freely and safely from one location to the other in the office; dexterity to manipulate tools, instruments, and small equipment, including keyboards or other data input tools in a manner consistent with standards of laboratory practice; lift and move objects of at least 20 pounds. While performing the duties of this job, the employee is regularly required to see, talk and hear.
