Executive Administrative Assistant Duties & Responsibilities:

  • Completes a broad variety of administrative tasks including: managing two extremely active calendars of appointments; composing and preparing correspondence that is often confidential; arranging complex and detailed meetings, itineraries, agenda and travel plans.
  • Reading, researching and routing correspondence; collecting and analyzing information; initiating telecommunications
  • Maintains an organized filing system of paper and electronic documents
  • Arranges office events that take place outside of the workplace, such as golf tournaments and staff appreciation events
  • Coordinate coffee & beverage service and kitchen duties
  • Oversee building maintenance schedule
  • Supervise and approve office supply orders for all locations. Choose standard office supplies and negotiate pricing with suppliers to drive towards annual cost savings goals
  • Order office supplies and food for Executive and office meetings, as well as training events

Executive Administrative Assistant Requirements & Skills:

  • Proficient in Microsoft Office (Outlook, Work, Excel and Power Point)
  • Expert-level written and verbal communication skills
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective working independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service
