HUMAN RESOURCES GENERALIST (CONTRACT)

Location: Markham / Bradford, ON

Reporting to the Human Resources Business Partner, the HR Generalist will be a key member of the HR team and contribute to the continuous roll out and improvement of our HR programs and services. The incumbent will be responsible for a variety of tasks including, but not limited to, the following:

RESPONSIBILITIES:

• Act as main point of contact for corporate business groups, advising HR best practices as it relates to recruitment & selection, employee relations, performance and change management

• Execute all stages of the recruitment life cycle: partnering with our hiring leads to deeply understand their requirements, crafting attractive job descriptions, attracting A-player candidates, preparing all offers of employment, completing reference checks, and negotiating and presenting offers to successful candidates

• Managing the recruitment funnel and developing a talent pipeline of qualified candidates in advance of need

• Attending career fairs and developing working relationships with colleges/universities for recruiting and employer brand recognition

• Maintaining all relevant applicant and interview records in accordance with our policy and regulations

• Creatively finding new sources for active and passive candidate recruiting

• Provide best in class service to the organization in support of HR management

• Proactively collaborate with team Managers to identify and plan for human resource needs to meet short and long-term business requirements

• Ensure the efficient operations of the HR team by coordinating recruitment and onboarding activities such as facilitation of New Hire Orientation as needed

• Provide consultation and advice to Managers on a variety of employee relations and human resource issues

• Support the execution of human resource guidelines, policies and procedures that adhere to applicable legislation, regulations, etc.

• Provide comprehensive administrative support to the daily operations of the HR team

• Contribute to the continuous improvement and roll out of HR programs and services

• Networking with industry contacts, association memberships, trade groups, and employees

KNOWLEDGE AND SKILLS

• Good understanding and knowledge of human resources principles, best practices and applicable HR legislation

• Proficiency with computer and computer applications including experience with HRIS (SuccessFactors) and Microsoft Office Suite (Outlook, SharePoint, Word, Excel, PowerPoint)

• Keen attention to detail with strong written and verbal communication skills

• Strong organizational skills and ability to prioritize and be flexible to manage changing priorities on short notice

• Work effectively in an environment where professionalism, high degree of confidentiality, and sensitivity are of primary importance

• Customer service orientated with proven ability to foster connections by putting people first and building trusting, effective relationships

• Capable of handling change in a growing company and working from the ground up on systems and processes

• Self-starter with a demonstrated ability to take initiative, who is comfortable working independently and with a team

EXPERIENCE REQUIREMENTS

• Post-secondary diploma, degree, or certificate in Human Resources management or an equivalent combination of education, training, and work experience

• Minimum of 3 years of recruiting experience

• Minimum 3 – 5 years Generalist and/or coordination experience in Human Resources

The ideal individual will be located in or near Hope, BC and will work 50% out of the Hope facility and 50% remotely.</p><p>Position Overview</p><p>The Human Resources Coordinator reports to the Director of People and Culture and is a key member of the VIVO People Team. This individual is responsible for coordinating and completing all day-to-day administrative Human Resources functions in their area of responsibility, payroll included. This individual will manage employee relations and act as a partner in the development of a high-performance culture.</p><p>The Human Resources Coordinator will additionally support the Director of People and Culture in the application of corporate programs such as Performance Management, Learning &amp; Development and Health &amp; Safety.</p><p><b>Key Responsibilities</b></p><p>Employee Relations: Respond accordingly to employee requests for information, support, and guidance. Support and coach management in attending to employee related matters as needed. Escalate complex challenges to the Director of People and Culture.</p><p>Record Management: Prepare and maintain accurate employee records within employee folders and related to performance management, training, policies, and time off including leaves of absence and vacation. Maintain employee privacy and confidentiality throughout.</p><p>Payroll and HRIS Administration: Participate in payroll processing by providing a bi-weekly payroll report, ensuring completeness and accuracy of hourly employee timecards, and completing special hourly employee entries. Update HRIS personal and employment information as needed. Complete total new employee system entries.</p><p>Benefits and RRSP Program Administration: Track and identify employee eligibility to both programs, administer and collect registration paperwork and receive and escalate program change documents.</p><p>Performance Management Program: Support the management team in completing all three phases of the PMP – objective setting, midyear reviews and year ends reviews, with their direct reports. Additionally, support in the quarterly administration of the VIVO Living the Values Program and annual 360 feedback reviews.</p><p>Learning and Development: Support the creation and implementation of the annual learning and development calendar by facilitating session planning and content build out as well as scheduling.</p><p>Recruitment: Administer the recruitment process for both backfills and new hires by posting to fill roles, reviewing, and organizing incoming resumes, screening candidates and scheduling and participating in interviews.</p><p>On-boarding: In partnership with management, conduct the VIVO on-boarding process with new hires including documentation, policies, company orientation, training and VIVO platform set up.</p><p>Off-boarding: In partnership with management, participate in the VIVO off-boarding process including documentation, exit conversations and company access closeouts.</p><p>Progressive Discipline: In partnership with management, facilitate disciplinary action including documentation, course correction and follow-up.</p><p>Employee Communication and Feedback: Communicate with employees at large both written and verbally, providing clear instruction, guidelines, action items and information.
