Reporting to the HR Advisor, the Office and HR Administrator is responsible for supporting the day-to-day aspects of office coordination and HR administration. Responsibilities include general office administration duties of the facility and human resources administration in the areas of recruitment, employee programs and event planning, maintaining employee documentation, database management, and our group benefits plan.

This is a 15-month contract position. The role will be based out of our Calyptra facility in Sundre, AB.

ROLES AND RESPONSIBILITIES

OFFICE ADMINISTRATION

• Oversee general day to day administration and office coordination, ensuring the office runs smoothly.

• Coordinate and ensure the supply room and lunchroom are clean and organized.

• Purchase office and kitchen supplies and equipment while maintaining proper stock levels on a regular basis.

• Organizing meetings and/or special events; arranging and picking up catering as needed.

• Coordinate travel including flight, hotel, and car rental reservations as needed.

• Manage our online swag shop including fulfilling orders, collecting payments, and tracking inventory of items.

• Attend to administration of the phone system, including handling incoming phone calls, general inquiries, and updating the phone directory.

• Ensure monthly credit card reconciliations are entered into the spreadsheet and receipts are collected and sent to our accounting department.

HUMAN RESOURCES ADMINISTRATION

• Assist with maintaining materials, tools, and documentation in support of HR programs such as recruitment, onboarding, and HR policies and procedures.

• Assist with the recruitment process by posting job descriptions, screening resumes, scheduling interviews, conducting interviews, conducting reference checks, creating offer letters, and onboarding new employees.

• Prepare HR documentation including offer packages, addendums, and other documents as requested.

• Schedule orientations and conduct presentations on benefits program, payroll process, other HR initiatives.

• Create employee files, labels, and ensure employee documentation is filed properly.

• Support with organizing various HR initiatives including our employee of the month program, monthly birthdays, and team building events.

• Maintain, track, and provide reports on all vacation, attendance, and sick leave hours.

• Be the go-to person for benefits questions and assist employees with enrollment in benefits programs.

• Support with other tasks as required.

QUALIFICATIONS

• 2 – 3 years experience in office administration.

• Diploma in Human Resources or Office Administration (Preferred).

• Interest in pursuing a career in Human Resources.

• Reliable vehicle with a clean driver’s abstract.

• Proficiency with MS Office Suite and the ability to learn new programs quickly is essential.
