Reports To

Vice President, Legal and Real Estate

Summary

The Executive Assistant is responsible for a wide variety of administrative duties to support VP Legal and Real Estate and other senior management members. Duties include but are not limited to arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence, relationship building with Landlords, making various arrangements for facilities within reasonable timelines, follow directions from the executive and execute the fine details of various projects. The Executive Assistant is also required to maintain confidentiality and professionally interact with employees, management and the public. Other duties shall be assigned as necessary.

Job Duties


  • Provide direct administrative and office management support to members of the executive team, as directed.
  • Maintain work schedules for executive management as and when requested, particularly for communications with landlords and insurance carriers.
  • Setting up different accounts for various locations for utilities, as and when requested
  • Prepare travel schedules, book travel arrangements, and make reservations for senior management and executive staff when requested.
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
  • Prepare draft reports, background documentation, and research for various projects
  • Receive and screen all inbound telephone calls, e-mails, and visitors for the executive office as and when requested.
  • Refer and/or redirect calls, e-mails, as required.
  • Coordinate office activities between executives when required
  • Interact and maintain relationships with regulatory bodies and officials as and when required.
  • Consistently demonstrates a high level of drive, effectiveness and focus for extended periods of time, while maintaining composure in highly stressful or adverse situations.
  • Makes timely, informed decisions that take into account facts, goals, constraints and risks. Sees the big, long-range picture.
  • Troubleshoot and/or escalate office administration issues.
  • Receive incoming mail.
  • Review, evaluate, and distribute priority correspondence for the executive team.
  • Facilitate communication from department managers, business unit leaders, and project managers.
  • Earn the trust and respect of others through consistent honesty and professionalism in all interactions. Diplomatically handles challenging or tense interpersonal situations.
  • Complete expense reports, pay invoices, and other related duties.
  • Take and transcribe dictation notes.
  • Prepare and review presentations.
  • Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons.
  • Other duties shall be assigned as required.

Requirements

  • Post Secondary Diploma in Business Administration, or relevant discipline, required.
  • Experience in the Cannabis industry is a huge asset.
  • Strong relationship building skills and communication skills
  • 5-7 years experience in an administrative role preferred.
  • Prior law clerk /leasing coordinator experience is an asset.
  • Strong knowledge of office procedures and practices.
  • Keen attention to detail.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
  • Resourceful and flexible.
  • Proven organizational and time management skills.
