Of course, you also deliver consistent results by aligning yourself with Phoena's values.Roles & Responsibilities* Answering calls within Service Level Agreement (SLA), and gathering information to understand patient needs in order to best serve them* Directing and escalating general incoming calls and queries to appropriate personnel* Serving patients by:* determining requirements* answering inquiries (including but not limited to product, services, and education)* resolving issues,* fulfilling requests,* maintaining database, and customer profiles,* placing orders* Hold personal knowledge up to date on products, and science. Update job knowledge by participating in educational opportunities* Conduct outbound calls to:* Newly approved/renewed patients* Patients approved within the same day delivery zone* Follow up on patients' treatment* Follow up on patients who have not yet ordered* Assist with any other outbound initiatives the department may implement* Assist in managing all Veteran accounts and all clients who are supported by Insurance Companies, then enter and review new and existing Veterans through VA and updating Ample once direct billing is approved* Enter medical document and patient registration data into Ample* Register new and renewal clients and ensuring accuracy of information* Follow-up with healthcare practitioners/clinics on medical document errors* Follow-up with clients for errors on registration forms or missing registration forms* Track all necessary data and maintain data spreadsheets daily* Assist in the identification of trends and matters with clinics and partners, and opportunities for process improvements* Maintain renewals and Ample Care submissions* Assist with Quality checks for all approved patient profiles* Use discretion and maintain privacy regarding Associates' performance* Identify trends amongst the department in order to target training and process improvements* Process and track cancellations, refusals, transfers and returns of medical documents* Review verification lists from clinics and confirm receipt of documents* Compile data regarding missing documentation and errors to educate our partners to ensure a quick processing turnaround time* Collaborate with the Clinical Services team members to identify and resolve urgent issues* Update partnership and affiliate lists* Support Professional Services with the verification of New Doctors in a timely manner, when necessary* Mail and fax outgoing items and documents, and any other administrative tasks as required* Responding to incoming emails within 24 business hours.* Manage the patient assistance program, as well as the patient registration amendment process.* Respond to customers through social media messages, email, and website chat* Track email inquiries and identifying trends.* Meet and maintain Key Performance Indicators (KPIs) and SLAs, and adhere to all workplace policiesIndividual Influencer* Customer-centric always searching for ways to improve service, takes action to resolve (internal or external) customer issues* Acts as a mentor to peers and cross functional partners* Follows through on commitments, adheres to deadlines* Uses good judgment about when to act independently or escalate an issue* Acts with Integrity: Demonstrates responsible, ethical, and honest behavior while consistently leading by example* Delivers results while staying aligned with CannTrust ValuesEducation & Experience* High school diploma or equivalent* Post-secondary education preferred* A minimum of two years of call centre or customer service experience* Experience working in regulated industries is an asset* Experience with 3rd party adjudication and knowledge of Insurance Companies policies is an asset* Knowledge of medicinal cannabis or the pharmaceutical industry is an asset* A minimum of one year of data entry experience is an asset* Strong computer skills and practical experience using MS Office SuiteRequirements* Excellent communication skills, expert fluency in French and English* Proficiency in Microsoft Office Suite* Available to travel to company locations within the GTA* Must pass an RCMP security clearance* Must be 19 years of age or older* Knowledge and understanding of Health Canada's Cannabis Act* Data entry skills and ability to type a minimum of 50 wpm* Ability to use a high degree of tact, diplomacy, and discretion in working with others* Demonstrated ability to work effectively with others in a fast-paced client focused environment* Ability to organize and prioritize multiple tasks and work roles, while maintaining excellent attention to detail* Ability to work as an effective member of an integrated customer service teamPhysical DemandsWhile performing the responsibilities of the job, the employee is required to be able to lift up to and including 50lbs, sit and/or stand for extended periods of time and reach with arms/hands.
